Security precautions
Instructions on how to send a Zipped file

 

1.     Create the document you wish to send in email and save it to your desktop

2.     Use Win Zip or Win RAR to zip the file

o       Using Win RAR

o       Right click on the file on your desk top

o       Choose add to archive

o       CHOOSE ZIP

o       Then click on the ADVANCED tab

o       Click on the SET PASSWORD button

o       Add a password that is a combination of numbers and letters
(a minimum of 6 characters long) inform recipients of password by snail mail

o       Then click OK to set password

o       Click OK again then a file will be created on your desk top that
is now a
Zipped file.

o       Now you are ready to email the file.

o       Right click on the file that is now named your name. RAR (or whatever your file name was) and make the following selection

o       Choose Send To > mail recipient -----       Be sure to distribute password to the appropriate users so that they can open the document you have sent to them.  Use inter office mail or telephone not email for sending passwords.

o       This will add your document into an email message using Outlook Express.

o       Be sure to describe in the body of the email the purpose of your email and the attachment.

o       You should then be able to send your email message as you normally have done in the past.
